MATTOON — Lake Land College will pay $153,408.09 over the coming year for its core Microsoft and Adobe software licensing, after trustees approved two separate renewals through CDW Government LLC of Vernon Hills on Monday, Aug. 17, 2026.
Vice President for Business Services John Woodruff presented both items, each supported by a memo from Chief Information Officer David Stewart dated July 22 and a CDW quote dated July 19.
Microsoft: Flat Cost, Broad Coverage
The Microsoft Enterprise Enrollment renewal, approved 8-0 on a motion by Trustee Chuck Deters seconded by Trustee Scott Montgomery, totals $122,464.34 for the period Oct. 1, 2026 through Sept. 30, 2027. The minutes note no cost increase versus last year and that the total is slightly under the FY2027 budget allocation.
Stewart’s memo describes the agreement as “the licensing foundation for the College’s technology environment, supporting instruction, administrative operations, cybersecurity, collaboration, and enterprise infrastructure.” Line items on CDW quote 6B0PD28 include 830 Microsoft 365 A5 faculty licenses at $127.85 each for $106,115.50; 33,200 Microsoft 365 A5 Student Use Benefit licenses at no cost; 95 Windows Server Datacenter core licenses at $47.00 for $4,465.00; 830 Advanced Audit licenses at $5.63 for $4,672.90; 50 Project Professional licenses at $65.80 for $3,290.00; 50 Visio licenses at $28.19 for $1,409.50; SQL Server licensing totaling $2,211.04; and 40 Windows Server Standard core licenses for $300.40.

Stewart’s memo states flatly: “This is an increase of 28% over last year’s cost.”
Per the minutes, the licenses are used by both staff and students and float, with licenses inactive for 30 or more days becoming available to others. Usage fluctuates between 75 and 110 licenses, and the 125-license tier was recommended to avoid a shortfall.
Stewart’s memo describes Adobe Creative Cloud as supporting graphic design, photography, video production, web content development, document creation and digital publishing, and as widely used across instructional programs including Graphic Design, Digital Media, Marketing and Communications.
Both memos state the purchases are exempt from bidding per Board Policy 10.22 (#4.F.). Both CDW quotes carry a standing pricing notice warning that hardware manufacturer price increases may require CDW to update quoted pricing “irrespective of any timeframes or validity periods set forth in the quote.”
Separately, the board approved two Cengage digital content items the same evening: an additional payment of $18,291 for 182 subscriptions above last year’s approved 500-subscription base, and a one-year renewal of up to $71,825 for the term Aug. 9, 2026 through Aug. 8, 2027 at the 600-subscription tier of $110.50 per subscription, with a commitment to return to the board if subscriptions exceed 650.
